Administrative Manager
About the role:
As an Administrative Managaer, you will represent the managing director of Givaudan Austria GmbH or Givaudan AG as authorized officer- You will lead the General Service Department and manage the company's activities (concluding contracts, facility management, purchasing, safety, fleet etc.). You will manage the local HR administration and support the Regional HR Manager in Austrian labour law questions and Data protection rules. You will cooperate with the outsourced providers for accounting, reporting and payroll; ensure timely reporting to Givaudans' Corporate funcitons. You will ensuring smooth operation of the office.
You will:
Management of all company's general services activities:
* Negotiates contracts with suppliers
* Supervises and develops processes to ensure smooth office operation (purchases, travel-, cash-, facility-, fleet management, insurances etc.)
* Manages the Employer's obligation to comply to Austria's safety regulations and represents GIV AT in internal / external safety audits
* Member of the Crisis Management Team, ensures implementation of crisis safety rules and procedures
* Ensures compliance with corporate policies, trains the team on policies and procedures
* Organizes internal and external events e.g. Investor Conference, European Leadership meeting
* Supervises and trains Administration Assistant
Local HR Management:
* Manages registration of internal/ external employees of GIV AT and expatriates at authorities
* Prepares employment agreements and other employment registration documents
* 1st point of contact for labour law issues to Comp. Mgr & Regional HR Mgr EE
* Supports hiring, dismissal, resignation, retireme nt and secondment process
* Coordinates the payroll process with the payroll provider
* Manages the local "Time Management System
* Ensures compliance with local data protection regulations
* Defines and implements fringe benefits for the employees in cooperation with Benefits Manager & Company Manger, e.g. pension plan
Administrative support to Corporate Finance Manager & Treasury Manager:
* Manages accounting, reporting and payroll in cooperation with external provider
* Acts as authorized bank officer and takes care for timely payments, cash & bank guarantees
* Supports Budget Planning process
Sales:
* Poweruser & trainer for the region in the SRM platform
Relations with the local authorities:
* Manages relations with the local authorities and inspections, e.g. labour, social security and taxes, building and person-nel safety, etc.
You have:
* University degree or equivalent
* At least 5 years of experience in office administration
* Experience in managing cross disciplines matters and working in a matrix organization
* Strong commercial background and business acumen
* Knowledge of labour law requirements and local authorities
* Understanding of accounting and payroll
* Excellent communication & presentation skills
* Strong analytical skills
* Very good command of English + German
* Ability to build interpersonal relations and collaborate effectively in matrix organizations
* Negotiation skills
* People management skills
