About the team

As part of the HR Team, you will be responsible for providing full HR support to retail Store Managers and Managers in HQ. With strong experience in employee relations, this role will offer guidance on policies and procedures, together with advice on employment law. You will also assist with recruitment of retail management staff and non-management roles HQ.

The HR advisor will also be responsible for managing HR administration and will enter all HQ, Store Manager and Brand Consultant payroll data while working with the payroll provider with the processing of the monthly payroll.

The UK HR team consists of a Head of HR and this postion where you report to the Head of HR. The UK HR team forms part of the wider HR Northern Europe team which consists of a L&D Manager & Global Projects, Regional Master Trainer (NE), HR Manager (Benelux) and a HR Assistant (Benelux).

Responsibilities
* Prepares all contracts of employment for HQ, Store Management and Brand employees
* Prepares and supports the Office Manager with the preparation of contracts for retail Sales Consultants and Supervisors.
* Ensures all important HR documentation is received from all permanent staff and all personnel files, electronic and paper, are kept up to date (i.e. signed contracts, passport and visa, starter and leaver paperwork) with the support of the Office Manager.
* Maintains paper and electronic personnel files for all staff; archive leavers annually, collecting store personnel file at point of person leaving with the support of the Office Manager.
* Logging any leaver information on the exit interview tracker and completing exit interviews with leavers.
* Supports Office Manager with the response to reference request letters in a timely manner.
* Offers guidance on GANT's policies and procedures to Management and employees.
* Note take in formal meetings for retail, brand and HQ when required.
* Advises Managers on employee relations issues.
* Updates and adds letters/forms into HR template drive.
* Updates "Your GANT Rewards" with any Handbook and Policy amendments.
* Enters all information about HQ, Store Management and Brand Consultant staff on payroll system and processes the monthly payroll with payroll provider alongside any necessary CJRS information.
* Assists with the collation and processing of HQ and retail annual pay increase and bonus information including producing increase and bonus letters.
* Maintains lists and send out letters in regards to clothing allowance.
* Manages probation reviews of HQ and Store Manager employees.
* Processes monthly AVIVA pension information in line with payroll deadlines.
* Processes monthly reports and updates organisation charts accordingly
* Advertises vacancies internally on candidate management system and externally ensuring all adverts are in line with Global templates.
* Keeps internal employee databases up to date on a regular basis such as &Frankly & TalentPass
* Tracks absence levels and escalates any triggers hit accordingly
* Assists the Head of HR and Managers with recruitment, by phone screening, booking in interviews and sending regret letters to unsuccessful candidates.
* Ensure optimum use is made of payroll system; check all required data is completed by store managers and is up to date and correct on a monthly basis.
* Deals with medical and travel renewal's and pension scheme admin.
* Manages GANT rewards website and cycle to work scheme.
* Manages the GANT Wellbeing programme.
* Supports with the organisation of training events and materials.
* Covers all Office Management duties in the absence of Office Manager.
* Support the team with ad hoc projects.
* Ensure standards of confidentiality are maintained and that data integrity is protected.
* Ensure that the HR & L&D area remains tidy and organised at all times.

Your skills

Required:
* Previous HR retail experience
* CIPD Level 3 qualification
* Previous experience of advising on disciplinary & grievance matters and notetaking and coaching Managers on how to handle difficult situations
* Previous experience of recruitment
* Experience of using and entering data onto HR & payroll systems
* Experience and knowledge of managing and using auto-enrolment pension systems
* Experience and knowledge of CJRS scheme
* Excellent interpersonal skills, with calm approach to problem solving
* Good numeracy and literacy
* Excellent organisational skills
* Excellent Excel & Word skills; PowerPoint skills
* Ideally some experience of working in fashion retail
* Must enjoy the challenges of pace and fast thinking that an innovative retail environment brings
